Notice of Annual General Meeting & Members Update

Members, parents, spectators and volunteers are invited to attend our Annual General Meeting which will be followed by and update on our plans for 2025. Spoilers – we’re going to be holding races!

If you want to be part of our exciting plans for 2025 we would love to hear from you as we look to fill the committee with role-based appointments. In addition to the usual committee roles, we have roles coordinating our race day activities and around our great refurbished facilities. Who knows, you might be our our next Chief Steward, Licensing Officer or our catering maestro.

For those just looking to help out, we’re also on the look out for helpers on race day. Our volunteers get the best seat in the house – whether they’re our track marshals, timing gurus or gourmet chefs.

More information including some big announcements for 2025 will be made at the meeting, hope to see you there!

Minutes

10/10/2023

Venue: Hopetoun Golf Club

Time: 6:30pm

Present: Trav Horman, Greg Milburn, Phil Glare, Robin Grogan, Ken Retallick, Ryan Thurgar, Tom Huf

Apologies: Zeb Chivell, Cox Smith, David Ward

Minutes of previous meeting: As attached. Ken moved minutes of previous meeting be accepted, Greg seconded. All in favour, carried.

Business arising: None

Finance report: Attached. Trav moved the financial report be accepted, Ryan seconded. All in favour, carried.

Election of office bearers:

  • President – Greg nominated Ryan, Ken seconded. No other nominations, Ryan elected as president
  • Secretary – Robin nominated Greg, Trav seconded. No other nominations, Greg elected as secretary
  • Treasurer – Ken nominated Tom, Trav seconded. No other nominations, Tom elected as treasurer
  • Vice President – left vacant
  • Licensing Officer – in charge of registering with AASA, licensing compliance – to be decided at next meeting
  • Membership & Promotion Officer – all promotion activities – Tom
  • Track Officer – for track developments – Greg with assistance from everyone
  • Technical Officer – in charge of scrutineering and kart safety, racing rules compliance and technical decisions – Ken
  • Head of Coaching – racing coaching and advice, organizing club visits to other clubs – Ash and Shane H??
  • Chief steward – in charge of track marshals and administering race rules – to be decided at next meeting

Noted that roles need to be filled to spread workload among members

General business:

  • Membership fees
    • Racing membership: $99 for first family member, $50 for additional family members. 1 parent provided voting rights where they have children under 18, as proxy for members under 18
    • Social & volunteer memberships: $20 – required for all volunteers
